SummaryA new Lone/Remote Worker Protection system is being put in place for Justice Services supervisors working remotely and in isolation in the community with their service users. This service will be for a period of 12 months while a replacement Council Lone and Remote Working contract is being tendered and awarded.

The service will provide alarm devices linked to multiple mobile networks, via roaming SIMs to ensure maximum network connectivity. The devices are linked to a continuously staffed Alarm Response Centre, which will monitor and support council staff and react to and escalate any alarms raised to fully protect council staff working in lone and remote situations.

An essential feature for protection of Justice Services staff was identified as the ability to record audio via the alarm devices in appropriate situations; the devices will provide this functionality to record audio up to 2 metres from the device upon activation by the member of staff. The recordings are then available upon authorised request from the Alarm Response Centre.

A need was identified for a PIA due to the sharing of personal data with the service provider to allow them to fulfil and deliver their worker protection services and also due to the audio recording function of the devices. It was identified that the information included personal data and special category personal data. Thorough consideration has been taken in relation to the sharing of the personal data, the categories of personal data involved, the uses for the data shared and the legislation which gives the council the powers to process the information. An assessment of the overall level of risk in relation to sharing the information has also been considered.

The outcome of the risk assessments and the mitigating actions will ensure that council staff and service providers do not breach data protection principles while sharing and processing personal data of those council staff for whom lone and remote working is being provided.
