Time cards

You need to submit a weekly time card in Oracle Fusion to claim overtime, standby, call out, keeping‑in‑touch payments or hours worked in another post. Your manager will review and approve your claim, so make sure you submit it before payroll deadlines shown in the news and announcements section of your Fusion home screen.

What you can claim

You should use a time card to claim:

  • overtime, standby, call out or keeping‑in‑touch payments
  • overtime or extra hours worked in a different post
  • basic contracted hours worked in another post (facilities and social work employees only)
  • supervised study (teachers)
  • additional hours (part‑time teachers)
  • sleepover allowance
  • hours worked as a casual/supply employee, including school support assistants and early years practitioners

Supply teachers will continue to be paid through the current arrangements.

How the time card process works

When you submit a time card, your manager receives a notification to approve it.

If you have more than one job, choose the post where you worked the hours so the correct manager can approve your claim.

Key changes you need to know

  • you must submit a weekly time card in Fusion, overtime spreadsheets are no longer used
  • hours are recorded daily, not as a weekly total
  • you do not need to enter cost centres, subjective codes or spinal column points for overtime in your usual job
  • if you work overtime in a different post, you must enter the spinal column point, not the hourly rate for that post. (if you do not know the spinal column point, speak to the manager who arranged your overtime)
  • only enter a cost centre if the hours should be paid from a different cost centre (if you do not know the cost centre, speak to the manager who arranged your overtime)
  • if a cost centre is required, use the Oracle Fusion cost centres (which consist of 7 digits)
  • a pay element has been created for casual workers claiming hours (and this includes holiday pay) - this is called E001 Casual Basic Pay.  See the guidance on overtime examples at the bottom of the page.
  • a pay element has been created for employee groups who occasionally work their basic, contractual hours in another post - this is called “E001 Basic Pay Acting Up”. See overtime examples guidance below.
  • you and your manager can amend a claim within 45 days. Please refer to the guidance when making changes. To amend a claim more than 45 days after submission, please contact Personnel Services.
